Rands per month, and the price on the card is the amount charged. Every plan includes the ledger, the dashboard and your contacts; the tiers add modules and seats. Change plan at any time and the modules unlock straight away.

Transactions are never metered — put through as many as you like — and a module you unlock applies to every company you run rather than being charged again on each. Users and companies are an allowance per plan rather than a per-seat bill, and if you outgrow the one you are on, both come in packs. Payroll is banded above 10 employees, because running ten payslips a month is not the same job as running five hundred; the bands are below.

What your practice earns

Every client keeps their own Ledgr account and pays for their own plan at the ordinary list price — which is what makes the books theirs rather than yours. The difference with a partner practice is that your firm earns a share of that plan fee, based on how many paying clients you have.

A share of the plan price on each client's own subscription, on clients on Starter and up. Compliance clients count toward your status but earn no share. Usage charges — payroll bands, storage, WhatsApp messages and receipt scans — earn no payout.

A three-company group pays R1 949 for Enterprise — 2 companies included, unlimited users — plus one company add-on at R249 for the third. Inventory, multi-currency and time tracking are already on all three, and every user is included.

The one thing that is banded: payroll

Ten payslips a month and five hundred are not the same job — each employee is a PAYE, UIF and SDL calculation, a payslip, an EMP201 line and an annual IRP5. So payroll is banded above ten, and nothing else is. Above the free band you add staff in blocks of fifteen, so you only ever pay for the headroom you actually need. The first band is included in your plan.

Payroll never stops because of a band. If you grow past the band you paid for, payslips still run, EMP201s are still prepared and the difference is simply billed. We will never hold up a payday to collect a bill.

How usage is billed. The payroll band, storage, WhatsApp messages and receipt scans are charged by what you use. On a one-month term, anything beyond your plan's allowance is added to your next renewal. On a three, six or twelve-month term your plan is paid up front and usage is billed separately at the end of each month, on its own usage bill with a payment link — so it never builds up over a year. A month under R20 is carried to the next bill rather than charged on its own.

The other metered thing: storage

Files you upload — receipts, product photographs, signatures, logos. Documents Ledgr generates, like invoices, payslips and reports, are produced when you ask for them and stored nowhere, so they cost you nothing.

Past your allowance it is R18 per whole gigabyte per month, measured from what you are storing when each month is billed.

A recompressed receipt photograph is around 240 KB, so a gigabyte is roughly four thousand receipts. You are warned at 80% of your allowance, before anything is charged — and like the payroll band, going over is billed as usage (see above) and never a locked screen. Refusing to store a receipt would break the books and the VAT claim behind them.

The last two metered things: WhatsApp & AI scans

Two things cost Ledgr real money every time you use them — a WhatsApp Business message (reminders, receipts, statements) and an AI receipt scan. So each plan includes a generous monthly allowance, and only the heavy senders and scanners ever reach the overage. Going over a monthly allowance never blocks anything; it is billed like storage — added to your next renewal on a one-month term, or on a monthly usage bill on a longer term. The one limit is daily, on WhatsApp: in any 24 hours a company can send up to its plan's monthly allowance, so a fault cannot send thousands at once.

Scan a lot? Turn on AI Assist for a flat R99 a month and receipt scans are unlimited, with nothing metered. Even without it, the meter caps itself: it never charges you more than that flat rate.

Need one more thing without moving up a whole tier? An add-on attaches to your plan at a price below the next tier — so buying one always costs less than upgrading would, not more. Availability depends on your plan.

Rands per month. Seats are sold in packs of five, live tracking is priced per driver and companies are priced per entity. Everything else is a flat monthly charge, however many companies you run it on.

This is the same gating the app enforces — if a module is not on your plan, its menu item is locked rather than hidden, so you always know what upgrading gets you. Several of these rows can also be bought as an add-on without changing tier; see the table above.

Seat and company counts are enforced per business account, when a user or company is added rather than retrospectively. The invoice limit on Free is counted per calendar month and resets on the first. Practice is the accounting-firm tier, is free, and is applied for rather than bought — the columns below show what a firm reaches on its own books.

Frequently asked questions

What happens when I reach the Free plan's invoice limit?

You cannot create another one that calendar month, and Ledgr offers you an upgrade. Everything already issued stays exactly where it is, and the counter resets on the first of the next month.

Do I lose data if I downgrade?

No. The module goes back to locked and its screens stop opening, but nothing in it is deleted. Upgrade again and it is all there. You can also export your data at any time from Settings, on any plan.

What happens if I go over 10 employees?

Your band changes and you pay the higher band — that is all. On a one-month term it is on your next renewal; on a longer term it is on that month's usage bill. Payslips keep running, EMP201s keep being prepared and nothing locks. Above the included band you add staff in blocks of fifteen, so you only pay for the headroom you need. Ledgr shows your headcount and band in Settings → Billing & Plan, so the change is never a surprise on an invoice. If your headcount drops again, so does the band.

Which plans have employee bands?

Professional, Enterprise, Manufacturing and Practice, because they are the plans that include payroll — plus Starter and Business if you have bought the payroll add-on. On Free there is no payroll module and no band. Companies, users and transactions are never banded on any plan.

Can I buy one module instead of moving up a whole tier?

Often, yes. Inventory, job cards, workflows, payroll, bills of materials with planning and production, procurement, logistics, live driver tracking, extra seats and extra companies are all sold as add-ons (each from a given plan — see the table above), and an add-on is always priced below the upgrade that would include it — so buying one never costs more than upgrading. They live in Settings → Billing & Plan, and Ledgr tells you on the spot if upgrading to the next tier would now cost less.

Is the price per user or per business?

Per business. The seat count is the number of active user accounts the business can have — 1 on Free, 3 on Starter, 10 on Business, 25 on Professional, and unlimited on Enterprise, Manufacturing and Practice. Extra seats are sold in packs of five if you need a few more without changing tier.

Who is the Manufacturing plan for?

Businesses that make something rather than resell it. If you hold a recipe, build to it, and buy the components against a plan, the modules it adds — bills of materials, material planning, production, procurement and logistics — cover the work you are probably doing in spreadsheets today. If you buy finished goods and sell them on, Enterprise already has what you need and Manufacturing would sit unused.

And who is the Practice plan for?

Accounting and bookkeeping firms keeping other people's books. It is not the tier above Manufacturing — it is off the ladder entirely, and it is free. Your firm gets unlimited staff, its own books on the whole Enterprise module set, and a console across every client who has invited you. Your clients keep their own accounts and pay the ordinary list price for their own plans, and your practice earns 5% to 25% of each of those plan fees, depending on how many you carry — on clients on Starter and up; a Compliance client counts toward that number but earns no share. Can my accountant have access without taking a seat from my team?

Your accountant or tax practitioner takes a seat like anyone else, but the Accountant and Tax Practitioner roles are scoped: full SARS access, view and export on financials, no ability to alter user permissions. See the roles guide.

How does paying actually work?

Card, through Yoco. Choose a plan above (or press Upgrade in Settings → Billing & Plan if you already have an account) and pick a term of 1, 3, 6 or 12 months — twelve months are billed as eleven. Ledgr never sees your card details. When the payment clears you are emailed a licence key, and if you bought from inside the app the plan is applied to your business immediately.

Does it renew automatically?

The reminder is automatic; paying takes a single tap. Yoco's gateway cannot charge a stored card, so Ledgr does not keep your card details. Seven days before your term ends — thirty on a twelve-month term — we email you a payment link, with reminders if it is still unpaid. A renewal extends from your existing expiry rather than from the day you paid — so paying early never costs you days. The whole cycle is in the billing guide.

What happens to my data if I cancel?

Cancelling means stop renewing: you keep every day you paid for. After the plan ends you have one month of read-only access — sign in, open every report, export everything — with warnings at 21, 7 and 1 days naming the date. From that date the account can be closed for good: your uploaded files are deleted, every sign-in is erased and nothing can be opened again; the records you typed in are not erased but can no longer be reached (the privacy policy has the detail). Export from Settings → Data at any time, on any plan. The Tax Administration Act asks you to keep records for five years, so do it before you go.

How do I apply a licence key?

If you bought before signing up, choose I have a licence key on the first step of sign-up and paste it. If you already have an account, open Settings → Billing & Plan and enter it there. Either way the plan and its modules switch over on the spot — no need to sign out and back in.

I already use another accounting package. How hard is the move?

Contacts and bank statements import from a file; opening balances are one journal from your old trial balance. Most small businesses cut over in a morning. The full plan, including where to find the exports in your current system, is on switching to Ledgr.

Where is my data stored?

In Google Cloud's africa-south1 region, in Johannesburg. Every row carries the id of the business it belongs to, and every request is scoped to the business on your signed session — so a query only ever returns your own rows. More on that, and on POPIA, is on the security page.
