Invite a teammate and give them a role
Add a colleague as a user with the right role, so they see only what their job needs, and change or stop their access later.
The steps
Find it
- Users live under ADMINISTRATION, in Roles & Users. Quickest: tap Search anything…, type roles and tap Roles & Users under "Go to".
- The screen opens on Users: everyone who can sign in, their role, whether they use two-factor sign-in and when they last signed in.
Invite a colleague
- Tap Invite User at the top of the screen.
- Tap user@company.co.za and type their work email, such as thandi@highveldtrading.example.
- Tap First and type Thandi, then tap Last and type Nkosi.
- Under Role, tap Sales. Each role says what it can do: Sales manages the CRM, quotes, invoices and contacts.
- Tap Create User. Ledgr shows a temporary password once; tap Copy to pass it on if their email has not arrived, then Done.
Scenario: you need to check who can do what
- Tap Permission Matrix. Each row is a module and each column a role: V view, C create, E edit, D delete, A approve, X export.
- If no role fits someone exactly, tap Roles & Permissions, then Create Custom Role to make your own.
Scenario: their job changes
- Tap Thandi Nkosi in the list to open their details and the permissions their role gives them.
- Tap Change Role and choose Accountant. The permissions listed under their name change to the new role's.
Scenario: someone leaves the business
- Tap Thandi Nkosi to open their details, then Revoke Sessions, so no device they are still signed in on can renew its session.
- Tap Suspend. They can no longer sign in, and everything they did stays in your books. If they come back, Reactivate in their details undoes it.
More detail is in the guide.
