Training › Getting started › Lesson 2 of 4
Set up your company details
Capture the details printed on every document and return, add your employer references, and continue your invoice numbering from your old system.
The steps
Find it
- Settings is the last item in the menu, under ADMINISTRATION. Quicker still: tap Search anything…, type sett and tap Settings under "Go to".
- Settings opens on the Company tab, at Business identity. The tabs beside Company hold your currency, VAT, payments, security and plan.
Know where everything is
- Tap Tax & VAT for your VAT category and the date you registered. The VAT rate itself is set by SARS, not by you.
- Tap Localisation for your base currency, how dates and numbers are written, and exchange rates.
- Tap Billing & Plan to see your plan, what it includes and what you have used this month.
Capture your business details
- Legal name must match your registration exactly. Fill in Trading as only if customers know you by another name; Ledgr then shows that name in its lists.
- Tap Business type and choose (Pty) Ltd, or whichever form your business is registered as.
- In VAT number, type the ten digits on your VAT registration, such as 4123456784. Leave it blank if you are not registered for VAT.
- Tap Financial year-end and choose February, or the month your financial year ends.
- Tap Save changes at the top. These details now print on your invoices, statements and the returns Ledgr prepares.
Scenario: you employ staff
- Scroll down to Employer SARS references. In Employer PAYE reference, type the number SARS gave you, such as 7123456789.
- Ledgr fills in your SDL reference and UIF reference from it: L and U, then its last nine digits. Type over either if yours differs.
- Tap Save changes. Payroll needs these references for your EMP201 and IRP5 certificates.
Scenario: your logo should be on every invoice
- Logos live with the documents they print on. In Invoicing & Quotes, tap Settings on the toolbar, then Logos & Branding.
- Tap Upload Image…, choose your logo file, then tap Save Settings. It prints on the invoices, quotes and statements you send.
Scenario: you are moving from another system
- In Invoicing & Quotes, tap Settings, then Numbering. Each document type has its own prefix and next number, with a preview of the next one.
- If your last invoice elsewhere was 412, type 413 as the Tax Invoice's next number, then tap Save Settings so your numbering carries on.
More detail is in the guide.
