The steps

Find it

  1. Every screen is in the menu on the left. Under CORE, tap Expenses & Bills. On a phone, open the menu with the button at the top left first.
  2. Tap Bills. These are supplier invoices you owe on terms; the number beside the tab counts the overdue ones.

Record the bill

  1. Tap New Bill.
  2. In Vendor, type Highveld Steel Traders.
  3. In Amount (excl. VAT), type 12000. Ledgr fills in VAT at the standard rate; correct it to the VAT the supplier's invoice shows.
  4. In Supplier invoice no., type HST-2291. The supplier and this number together stop one bill being captured twice.
  5. Tap Save Bill. It is owed from today until its due date, and counts in your cash-flow forecast.

Scenario: you pay the supplier

  1. Tap Search bills by number, supplier or order and type HST-2291.
  2. Tap Pay on the bill's row.
  3. Under Paid from, tap Not specified and choose FNB Business Account. That account's balance moves as soon as you confirm.
  4. Tap Mark as Paid. The bill leaves what you owe, and the payment waits in Banking to be matched to the statement line.

Scenario: the supplier sends the same invoice twice

  1. Tap New Bill.
  2. In Vendor, type Highveld Steel Traders.
  3. In Amount (excl. VAT), type 12000.
  4. In Supplier invoice no., type HST-2291.
  5. Tap Save Bill. Ledgr refuses it and names the bill already captured, with its date, amount and status.

Scenario: the same bill arrives every month

  1. Tap New Bill.
  2. In Vendor, type Bluegum Office Park.
  3. In Amount (excl. VAT), type 18500.
  4. Tick Recurring bill — auto-create on a schedule. It repeats monthly unless you choose another frequency.
  5. Tap Save & Schedule Bill. Ledgr raises each month's bill by itself.

More detail is in the guide.
